This Privacy Policy explains how MeetingBull (“MeetingBull,” “we,” “us,” operated by Arain Systems) collects, uses, and protects your information when you use the MeetingBull website and application at meetingbull.com (the “Service”). By using the Service, you agree to this policy.

Information we collect

  • Account information. Your name and email address when you create an account, including when you sign in with Google (we receive your basic Google profile and email).
  • Content you provide. Meeting transcripts and files you upload, paste, or sync, and the structured data we extract from them (such as action items, decisions, and risks), plus projects, teams, and notes you create.
  • Google data (only if you connect it).If you sign in with Google we receive your basic profile and email. If you connect Google Drive, you grant us access to the specific files and folders you choose (so we can import transcripts that already live there). We do not browse your wider Drive. See “Google user data” below.
  • Usage and technical data. Log data, approximate device and browser information, and essential cookies used to keep you signed in and to operate the Service.

How we use your information

  • Provide, operate, and improve the Service, including extracting structure from your transcripts and building your dashboards.
  • Authenticate you and keep your account secure.
  • Send you transactional messages (for example, invitations or a founding-spot confirmation), and, only with your consent, occasional product emails you can unsubscribe from at any time.
  • Prevent abuse, enforce our terms, and meet legal obligations.
  • Respond to your support requests.

We do not sell your personal information, and we do not use your meeting content to show you ads.

AI processing

To turn a transcript into action items, decisions, and risks, the transcript text is sent to our AI provider, Anthropic (Claude), which processes it to return the extraction and does not use it to train its models. We send only what is needed to perform the extraction you requested.

Service providers

We share data only with vendors that help us run the Service, under contracts that limit their use of it:

  • Supabase: database, authentication, and storage.
  • Vercel: application hosting.
  • Anthropic: AI extraction (Claude).
  • Resend: transactional and product email delivery.
  • Google: sign-in and, if you connect it, Drive import.

Google user data

This section describes how MeetingBull accesses, uses, stores, shares, retains, and deletes data obtained through Google APIs. MeetingBull’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Data we access

If you choose to sign in with Google or connect Google Drive, we access:

  • Basic profile and email (scopes userinfo.email, userinfo.profile), used to create and identify your account and to label a connected Drive with the right Google account.
  • Google Drive files you explicitly select (scope drive.file). This scope grants MeetingBull access only to the specific files and folders you open or pick through Google’s own file picker. It does not grant access to your wider Drive, and we cannot see files you have not chosen.

How we use this data

  • To authenticate you and maintain your MeetingBull account (profile and email).
  • To read the content of the Drive files you select, so we can import their meeting transcripts and extract action items, decisions, and risks into your account.
  • We do not use Google user data for advertising, and we do not use it to train machine-learning or AI models.

How we share this data

We do not sell Google user data and we do not transfer it to third parties except as needed to provide the Service: the transcript text from a selected file is sent to our AI provider, Anthropic (Claude), to perform the extraction you requested (Anthropic does not use it to train its models), and the data is stored with our infrastructure providers (Supabase, Vercel) listed above. We do not allow humans to read your Google data except with your consent (for example, to provide support you request), where required for security or to comply with the law, or on data that has been aggregated or anonymized.

How we store and protect this data

Google OAuth tokens and any imported transcript content are stored in our database (Supabase) with access restricted to what is required to operate the Service, and all data is encrypted in transit. We store the minimum needed: the OAuth tokens that let you keep a Drive connection, and the transcript text and extracted items you import.

How long we keep it, and how to delete it

  • You can disconnect Google Drive at any time from the Integrations page, which removes the stored OAuth tokens. You can also revoke MeetingBull’s access from your Google Account permissions.
  • You can delete imported meetings and their extracted data at any time from within the app.
  • To delete your account and all associated data, email hammad@arainsystems.com and we will process the request. We retain data only while your account is active, except where limited records must be kept for legal, security, or accounting reasons.

Sharing within your workspace

If you join or create a team workspace, the projects, meetings, and extracted items in that workspace are visible to the other members of that workspace, according to the role each member is given.

Data retention and deletion

We keep your information while your account is active. You can delete individual meetings and their extracted data at any time from within the app. To delete your account and associated personal data, contact us at hammad@arainsystems.com and we will process the request. Some records may be retained where required for legal, security, or accounting reasons.

Security

Data is encrypted in transit, and access is restricted to what is needed to operate the Service. No method of transmission or storage is completely secure, but we work to protect your information and to limit who can access it.

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, or to object to certain processing. To exercise these rights, contact us at hammad@arainsystems.com.

International users

We operate the Service from, and process data in, the United States through the providers listed above. By using the Service you understand your information may be processed there.

Children

The Service is not intended for anyone under 16, and we do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the “Last updated” date above, and for material changes we will provide a more prominent notice.
